GRANTS, AWARDS, & CALL FOR PAPERS

Do I need to be a member to apply for a grant or a prize?

Yes, the opportunity to apply for a grant or prize is a member benefit. You can join and learn more about membership HERE.

What items are required to submit a Research Grant application?

• One-page summary of new and unpublished research
• C.V./Resume
• Two letters of reference
• For students, proof of enrollment
• Answers to two essay questions within the application

What items are required to submit a Travel Grant application?

• One-page summary of new and unpublished research
• C.V./Resume
• One letter of reference
• For students, proof of enrollment

What items are required to submit a Bernard Lewis Prize application?

• PDF version of full submission (if applicable)
• 750 word abstract of the submission
• C.V./Resume

What should be in a letter of reference?

The letter should briefly speak to the applicant’s capabilities and overall quality of their scholarly work.

How is the letter of reference sent?

Within the online application, there is a field to enter the name and email of the reference. They will receive an email on how to upload the letter to the submission.

If not awarded a grant, will I be considered for the general Call for Papers?

Yes, all grant submissions are automatically considered in the general Call for Papers. You do not need to resubmit a separate submission if the abstract is the same.

Do I need to be a member to submit a paper proposal?

You do not need to be a member to submit a proposal for consideration, however, if your paper is accepted, to present, you will need to join the Association and register to attend the Annual Conference.

In what format should I submit my paper proposal?

Submit a one-page summary of new and unpublished research as a Word or PDF document.

How can I submit a panel for consideration?

To submit a panel, one person will serve as the organizer and provide the necessary information for all participants via the online submission form. It is this person's responsibility to gather all materials and relay information regarding the submission to the proposed panelists. A completed panel will need three to four presenters and one discussant. Each presenter needs to have the following uploaded by the panel organizer:

• Paper title
• Presenter name and institution
• One-page proposal of the paper topic
• C.V. or resume

If awarded a grant or accepted to present, can I present virtually?

This is an in-person only event. There are no virtual options.

TECHNICAL

I forget my login and/or password, how can I login?

Select "Retrieve Username" or "Reset Password" under the login credentials. Typically, your username is the email you used to create the account.

How do I know if I have an account?

If you are not sure if you have an account, or you cannot remember which email is associated with your membership, you can contact Emily Lucas at [email protected] and she will be able to look up your information. You could also try logging in or resetting your password with the email you believe is associated with your account.

You can create a free account or join as a dues-paying member on the login page. Only those with an account will be able to access the online submission portal for the Call for Papers.

I joined/renewed my membership, why can't I fill out the grant application?

If you joined/renewed when you opened the submission, you will need to logout and log back in to the submission portal. If you continue to have difficulty, contact Emily Lucas at [email protected].

I'm certain I am a dues-paying member, why can't I access the application?

Contact Emily Lucas at [email protected]. It could be that the email you are using is not associated with your member account or that your membership expired.

When I try to renew my membership, I get this message: "You are not eligible to renew on this form. If you feel like this is in error, please contact the administrator for help." What does this mean?

This means your membership does not need renewed and your a member in good standing. 

Registration

I'm a student, why do I keep getting charged the non-member rate for Conference Registration? 

Only student members are eligible for the student conference rate. To learn more about membership with ASMEA and to join, visit here. If you are an active member, make sure you are using the correct email address associated with your account. There is also the chance that your membership has expired and you will need to renew. If you are still having difficulty, contact [email protected].

I’m a full member, why am I being charged the non-member rate for the Conference Registration fee?

If you are an active member, make sure you are using the correct email address associated with your account. If your membership has expired, you can renew here. If you are not currently a member, click here to join ASMEA. For assistance, please email [email protected].

How do I become a member?

Do I still need to pay a registration fee to attend if I am a presenter?

Yes. All presenters and discussants need to be members and registered for the conference. You can register here.

Are there day passes available?

Not at this time. Anyone wishing to attend any part of the conference must register at the applicable rate.

What does my conference registration include?

Your registration grants you access to all conference events including sessions, opening and keynote addresses, movie screenings, and exhibitor area. In addition, registration includes provided meals such as breakfast on Sunday and Monday; Sunday banquet luncheon; Monday boxed lunch; morning and afternoon coffee breaks; and, reception food and drink. Each attendee receives a name tag with lanyard, a tote bag, a conference program, a pen, and a notebook.

I am interested in becoming a Discussant, what do I need to do to participate?

If you are interested in becoming a Discussant, you must be an active member of ASMEA and be registered to attend the conference. When you fill out the conference registration form, select "Yes" for the question asking if you are interested in serving as a discussant.

Can I bring a guest to the conference?

For a fee of $100.00, you may bring one guest to the conference. If you wish to bring other guests, they will need to register at the full conference rate. You can pay for your guest when you register to attend or online HERE.

I am interested in bringing a group of undergraduate students to the conference, are there any special group rates?

Undergraduate student groups of a certain size may be eligible for a discounted rate. Contact [email protected] for more information.

Are children permitted to attend the Conference?

Due to the content and the structure of the conference, the event does not lend itself to being an appropriate venue for young children to attend. Unfortunately, we are unable to offer any daycare options at the event.

I need a receipt to get reimbursed for membership fees and conference registration, how can I get one?

Login to your membership profile and view your invoices. You can also contact Emily Lucas at [email protected] for a receipt. 

I can no longer attend the conference, am I able to receive a refund?

Conference fees are nonrefundable.

Will there be onsite registration at the 2026 Annual Conference?

There will be no onsite registration. All registrations must be made by November 5, 2026. If you have difficulty registering online, contact Emily Lucas at [email protected].

Where will the conference take place?

What is the Conference rate for the hotel?

The discounted conference rate is $179 per night.

How can I book my hotel stay?

A booking link will be provided shortly. You can also call the hotel reservations line at 1-800-627-7468.

Does the hotel have Wi-Fi?

If you would like to have access to Wi-Fi in your hotel room, you will have to pay a daily fee or join the Marriott Bonvoy program. Wi-Fi will be provided in conference areas.

MEALS

Are meals provided at the conference?

The opening reception on Saturday will be a cocktail reception featuring appetizers and drinks. Breakfast, lunch, and various coffee and snack breaks will be provided on Sunday and Monday. 

Are there Kosher/Halal options?

Kosher/Halal options may be available by advanced request. Vegetarian options are available. Additional charges may apply for special orders. Contact [email protected].

Can ASMEA accommodate my food allergies?

Please contact ASMEA as soon as possible so any special diet requests can be arranged with the hotel. Additional charges may apply for special orders. Contact [email protected].

TRAVEL

What airports are located near Washington, D.C.?

The nearest airport is Reagan National Airport accessible by Metro, shuttle, taxi, or other car service. Dulles International Airport is accessible via shuttle, taxi, or other car service. Baltimore Washington International Thurgood Marshall Airport is located 45 miles outside Washington, D.C. and be accessed via shuttle, train, taxi, or other car service.

Does the hotel have parking?

There is parking at the hotel for $60 a day. There are also nearby public garages that offer lower hourly and daily rates:

• 1250 24th Street NW Garage: Located directly at 1250 24th St. NW, about a 3-minute walk.
• 2121 K St NW Garage: Located at 2121 K St NW, about a 4-minute walk.
• 2141 K St NW Garage: Located at 2141 K St NW, also a 4-minute walk.
• 1175 21st St. NW (2050 M St NW) Garage: Approximately a 4-minute walk away.

How can I get around Washington, D.C.?

The Washington Metropolitan Area Transit Authority (WMATA) provides transportation throughout D.C. and many of the surrounding areas. You can also use taxi or other car services. The hotel is located centrally and is walkable to many restaurants and tourist destinations.

Can ASMEA help me obtain a visa since I am coming from overseas?

We are only able to provide a letter of invitation on your behalf. Please visit the U.S. Department of State website here to learn about your visa options.
