Grants and Call for Papers

How do I submit a panel for consideration?

Each member of the panel will need to submit their own proposal through the online portal. Within this online form there is a question that asks, "Is this paper proposal part of a panel?" Select "yes" and then enter the name of the panel or the panel organizer. You can submit a proposal here.

I am interested in applying for a grant or a prize, do I need to be a member?

Yes, the opportunity to apply for a grant or prize is a member benefit. You can become a member here

I am a member but I get an error message that reads, "You are ineligible to take this form. Please contact your administrator." What should I do?

Be sure your membership is currently active. If your membership has lapsed, you will be unable to access the online form. If your membership is up-to-date, make sure you are using the email associated with your active account. If you are still having difficulty, contact Emily Lucas at [email protected]

Do I need a letter of reference to apply for a grant or prize? How do I go about having this submitted?

Research Grant and Bernard Lewis Prize applications require a letter of reference. Travel Grant applicants do not.

The reference may email Emily Lucas at [email protected] with a PDF version of the letter. Letters may also be uploaded directly by the applicant to the online application if the reference chooses to share the letter with the submitter. 

How soon will the letter need to be submitted by my reference?

Your reference will have up to a week after your submission is finalized to submit the letter of reference. 

If I applied for a grant program, do I need to submit a separate paper proposal to be considered for presentation?

If you applied for a grant program with the same proposal you will submit for consideration as a paper proposal, you do not need to resubmit. All submissions made through the grant program will be considered for presentation whether awarded a grant or not.

I prefer not to apply online, is there another way to apply for a grant or submit a paper proposal?

No, all applications need to be submitted via our online system. If you are having challenges using the online system, we are happy to assist. Please email Emily Lucas at [email protected]

What is the required format of the paper proposal?

The paper proposal should be a one-page summary outlining your proposed topic. There are no specific formatting requirements for the abstract.

When will I know if I am a winner of a grant?

After the deadline has passed and all applications have been reviewed, email notifications will be sent in regard to the status of the application.

I won a 2021 ASMEA grant, what do I do now?

An email will be sent with details on the next steps. All winners of the grant will be asked to confirm their acceptance and then register to attend the Fourteenth Annual Conference. Conference registration is mandatory for all grant awardees and paper presenters. 

Are there opportunities for undergraduate students?

We will open up the online submission process for the Undergraduate Poster Competition in the Fall Semester of 2021. Information is forthcoming.

Registration

I'm a student, why do I keep getting charged the non-member rate for Conference Registration? 

Only student members are eligible for the student conference rate. To learn more about membership with ASMEA and to join, visit here. If you are an active member, make sure you are using the correct email address associated with your account. There is also the chance that your membership has expired and you will need to renew. If you are still having difficulty, contact [email protected]

I’m a full member, why am I being charged the non-member rate for the Conference Registration fee?

If you are an active member, make sure you are using the correct email address associated with your account. If your membership has expired, you can renew here. If you are not currently a member, click here to join ASMEA. For assistance, please email [email protected]

How do I become a member?

Do I still need to pay a registration fee to attend if I am a presenter?

Yes. All presenters and discussants need to be members and registered attendees to present. You can register here.

Are there day passes available?

No. Anyone wishing to attend any part of the conference must register at the applicable rate.

I have a guest who is interested in attending my panel only, can they attend just this?

No. If you have a guest, they must register to attend.

Can I bring a guest to the opening reception on Saturday, November 13th?

For a fee of $25.00, you may bring a guest to the reception. If you would like your guest to attend any other part of the conference, they must register to attend. There are no day passes or other à la carte options. You can pay for your guest at the event or when you register online.

I am interested in bringing a group of undergraduate students to the conference, are there any special group rates?

Undergraduate student groups of a certain size may be eligible for a discounted rate. Contact [email protected] for more information.

Are children permitted to attend the Conference?

Due to the content and the structure of the conference, the event does not lend itself to being an appropriate venue for young children to attend. Unfortunately, we are unable to offer any daycare options at the event.

I need a receipt to get reimbursed for membership fees and conference registration, how can I get one?

Login to your membership profile and view your invoices. If you are not an active member of the Association, contact [email protected]

Hotel

Where will the conference take place?

The conference will be held at the Washington Georgetown Marriott located at:

What is the conference room rate and I can I reserve a room?

The room rate is $159.00 a night. A booking link will be provided shortly.

Can ASMEA help me find a roommate to offset the cost of staying at the hotel?

ASMEA is not able to assist in the arrangement of roommates for attendees, however, members have access to a discussion board through our website and could coordinate sharing a room there.

Does the hotel have Wi-Fi?

If you would like to have access to Wi-Fi in your hotel room, you will have to pay a daily fee or join the Marriott Bonvoy program. Wi-Fi will be provided in conference areas.

Will the Annual Conference be impacted by COVID-19?

ASMEA and the Washington Georgetown Marriott are working together to ensure the well-being of attendees and staff. We continue to follow CDC recommendations and local regulations.
